Summary: Responsible for coordinating daily facilities operations to ensure the Union’s event spaces are properly set, facilities are event-ready, and customer and event needs are effectively supported.

Position Details: Student Position

Supervisory Responsability: Lead only

Work Schedule: Not to exceed 30 hours/week when school is in session (eligible for 40 hours/week during school breaks). International students’ schedules cannot exceed 20 hours/week when school is in session.

Pay Rate: $11.25/hour

Supervised By: Building Manager (Full-time staff)

Key Functions: 

  • Lead and coordinate the daily work of Operations Coordinators to ensure assigned tasks, event setups,
    and facility needs are completed accurately and on time.
  • Review event reservation documents and coordinate room setups, equipment, and other event requirements to ensure reservations are prepared as requested.
  • Conduct walkthroughs of event spaces to verify room cleanliness, furniture and equipment placement, and overall readiness prior to events.
  • Ensure meeting and event rooms are unlocked, secured, and maintained according to the event schedule.
  • Serve as the primary operations contact for event coordinators during events, addressing setup concerns, additional requests, and last-minute needs.
  • Assist with the setup and operation of audio/visual equipment, sound systems, and other event equipment as needed.
  • Coordinate with other Union departments to ensure event and customer needs are met.
  • Monitor the work of Operations Coordinators and provide direction, assistance, and feedback to ensure effective completion of assigned duties.
  • Assist the Building Manager with safety procedures, fire alarm procedures, and enforcement of
    applicable Student Union policies.
  • Identify and report maintenance, repair, safety, and facility concerns to the appropriate Union staff.
  • Complete required operational documentation, including the Daily Event Report, at the conclusion of each shift.
  • Provide professional and responsive customer service to students, faculty, staff, event organizers, and visitors.
  • Perform other operational duties as assigned to support the effective operation of the Union.

  • Is subject to possible changes in work schedule due to the operational needs of the department.
  • This position is on-site and requires regular, routine, and predictable in-person attendance to effectively perform job duties.

Qualification Requirements:

  • Be at least 16 years of age
  • Current enrollment at Kansas State University
    • Non-university student: Current enrollment in high school or an accredited college or university.
  • Enrolled in no fewer than six credit hours
  • Strong communication skills (verbal and written)
  • Basic computer skills, including proficiency in Microsoft Office Suite
  • Organizational and time management skills

Skills and Abilities

Work is performed in a public building environment. Frequently standing for extended periods, with the ability to alternate between standing, and walking throughout the shift. Ability to conduct facility rounds, assist guests, and support building operations and events. Frequently bend, stoop, kneel, reach, push, pull, and climb stairs while performing assigned duties. Frequently use hands and fingers to operate equipment. Ability to read computer screens, printed materials, room diagrams, event schedules, and facility signage. Hearing and verbal communication to communicate in person, by telephone, and by two-way radio. Lift, carry, push, and move materials, equipment, and supplies weighing up to 40 pounds. Work will include evenings, weekends, and special events based on operational needs. Work is performed in a climatecontrolled environment with no hazardous or significantly unpleasant physical conditions.
